Privacy Policy
Who We Are
Haunted Little Tokyo is a community Halloween event in Little Tokyo, Los Angeles. This policy explains what information we collect, how we use it, and the choices you have. Questions or requests: info@hauntedlittletokyo.com.
Information We Collect
When you RSVP: your name, email address, party size, costume contest interest, how you heard about the event, and invite information — the invite code you were given and the invite code of the guest who invited you, if any.
When you visit this site: pages viewed, referral source, and device/browser type, measured through Google Analytics, Cloudflare Web Analytics, and our own traffic counter.
When you receive our emails: whether an email was opened and which links were clicked, measured by our email provider.
At the event: photographs and video taken at the event, including photos taken at our photo booth (see "Photos at the Event").
When you check in at the event: your name and email address, your agreement to the event terms, and — if you take the check-in photo — your photo and the guests who claim it with you. If you start a check-in or sign-up and don't finish it, we keep what you entered so you can complete it or recover your photos (see "Data Retention").
How We Use Your Information
To run the event: manage attendance and check-in, send confirmations and event updates, deliver the venue location to registered guests, and plan event safety and logistics. To improve the event: measure attendance, site traffic, and outreach so future years work better. To invite you back: send email about future Haunted Little Tokyo events. To grow the event responsibly: the measurement and advertising-audience uses described below.
Our email is sent through Mailchimp. Every marketing email includes an unsubscribe link. Unsubscribing stops event emails and also removes you from any advertising audience built from our email list. Transactional messages about your own RSVP (such as the location reveal) may still be sent to registered guests.
Information Sharing
We do not sell your personal information for money, and we do not give sponsors or third parties your information for their own independent marketing.
We share information with the service providers who run our systems — Google (forms, sheets, analytics), Mailchimp (email), and Cloudflare (website hosting and analytics) — only as needed for them to provide those services.
Advertising partners (Meta — Facebook and Instagram). We may share email addresses with Meta in hashed (scrambled) form to build advertising audiences: to measure our outreach, to show event information to past guests and site visitors, and to reach new people similar to our guests ("lookalike" audiences). Hashing scrambles each address before it is matched, and Meta may use matched audiences only on our behalf. People who have unsubscribed from our email are excluded from these audiences.
We may also disclose information if required by law, or to protect the safety of guests and the event.
Cookies and Pixels
We use the Meta Pixel and Google Analytics to measure aggregate page views and RSVP conversions and to understand outreach effectiveness. These tools may set cookies or similar identifiers in your browser. You can disable cookies in your browser settings; some site features may not function properly without them. Browsers and ad platforms also offer their own opt-out controls (for example, Meta's Ad Preferences), which we honor by excluding opted-out and unsubscribed people from our audiences as described above.
Photos at the Event
The event is photographed and filmed by our team and by attendees. Photographs and video from the event — including photos taken at our photo booth — are kept in the event's archive and may be used to document and promote Haunted Little Tokyo and future editions of the event, including on our website, social media, press, and sponsor materials.
At our photo booth, your photo strip and individual photos are provided to you through a personal link that stays active for approximately 30 days after the event. Photographs you claim are retained in the event archive as described above (the link expiring does not delete them), and your personal photo page remains available after the event so you can retrieve your photos. Photographs that are never claimed are never displayed and are deleted within days after the event, after a short grace window for late claims. If you claim a photo together with other guests, we may note internally that you attended together, for event analytics in aggregate; we never show that information to other guests. If you lose your photo page link, we can re-send it to the email address you checked in with. If you appear in a photo and would like it removed from our promotional use, contact info@hauntedlittletokyo.com and we will remove it.
Data Retention
We retain RSVP records to administer the event and to plan future events, year over year, and event photographs and video in the event archive (see "Photos at the Event"). Incomplete (started but not finished) check-in and sign-up records are deleted after the post-event window. If you opt out of email or advertising sharing, we keep only the minimum record needed to honor that opt-out (a suppression record) so we do not contact you again.
Data Security
Guest lists are accessible only to the event organizing team through reputable providers with account security enabled. No system is perfectly secure, but access is limited and reviewed.
Age Requirement
This is a 21-and-over event. We do not knowingly collect personal information from individuals under the age of 21.
Your Rights — Including California Rights
You may request access to, correction of, or deletion of your personal information at any time. California residents may also opt out of the "sale" or "sharing" of personal information as those terms are used in California law — our hashed advertising-audience use described above is the activity this applies to. To opt out: email info@hauntedlittletokyo.com with the subject line "Do Not Sell or Share", or unsubscribe from our emails (unsubscribing also removes you from advertising audiences). We will not discriminate against you for exercising these rights, and we respond to verified requests within 45 days.
Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be reflected by an updated revision date at the top of this page, and material changes will also be announced by email.
